Choose a suitable location for your copier. Avoiding places where there are excessive temperature changes such as near heater units, air conditioners and windows where direct sunlight may bake the copier. Places like major traffic areas in your office, outside entrances and open windows can stir up dust that will settle inside your machine and affect copy quality.
Designate one person as the key operator. This can save you a lot of headaches. This person should know how to work all the features of the machine and do the regular maintenance of replacing toner, removing jams and adding paper. They should also be the one who calls in for service and supplies in order to avoid duplicate calls.
Pay close attention to the display lights. The toner should be replaced immediately after the toner light comes on regardless of copy quality. If the toner is not replaced the developer becomes depleted and will start to wear very quickly. This can cause numerous problems including wearing and/or destroying of the drum. Call for Preventative Maintenance. Consumable parts are replaced at regular intervals to keep the machine running at peak performance and make more expensive parts last longer. This will save you money and downtime by maintaining the machine rather than waiting for problems where numerous parts need to be replaced.

Store paper in a dry location. Paper absorbs moisture from humid air, so keeping paper in a dry location, especially in the summer, can eliminate most jamming and copy quality.
Be careful of jewelry. When removing jams, be careful of jewelry that can scratch the drum or rollers inside the machine. Rings can cause scratches on the drum that will show up as black marks on every single copy. There is no way to remove a scratch so the drum must be replaced.
Use the suitable supplies. Use paper, transparencies and labels that are designed to be used in a copier. Unsuitable supplies will cause jamming and/or damage to the machine.
Leave the lid down. Always leave the lid down when you leave the copier to save drum life.
Don’ts…
Let foreign objects get into the copier. Keeping foreign objects away from the copier will prevent many problems. Removing staples and paperclips before you get to the copier will keep them from falling into the machine and causing an electrical short or become lodged into any mechanisms.
Eat or drink near the copier. Prevent spills that can cause serious electrical problems and corrosion.
Use sharp objects to remove jams. Sharp objects can scratch the drum and damage other rollers inside of the machine.
